Please note that this is a country office position in India subject to local recruitment under the India compensation plan. If a staff member holding an HQ/International position is selected into this position, then the staff member would convert to a local appointment (i.e., a local salary and no expatriate benefits).

PURPOSE AND SCOPE OF POSITION

Maintains and supports an effective and smooth interface between the NDO and the external business community. Handles telephone calls, receives visitors, supervises the front office area and arranges cars for staff, whenever required.
Note: If the selected candidate is a current Bank Group staff member with a Regular or Open-Ended appointment, s/he will retain his/her Regular or Open-Ended appointment. All others will be offered a 2 year renewable term appointment.

Duties and Accountabilities

Handling telephone calls

1. Receives and responds to incoming telephone calls. Liaises between the external community and the relevant units and staff at NDO.
2. Maintains a log book of long distance calls made and calculates  a weekly estimate of expenses.
3. Checks and verifies telephone bills against records of official and personal calls.
4. Arranges for the repair of telephones in the NDO and at residences of ex patriate staff, when necessary.
Supervision of Front Office

1. Receives visitors and answers queries in a polite and meaningful manner.
2. Ensures security procedures are followed with respect to  external visitors.
Supervision of drivers

1. Attends to car requests from staff on a need only basis (local and Visiting) in line with established NDO procedures and priorities.
2. Allocates duties to drivers.
3. Prepares travel advance requests for drivers for outstation trips.
Organizing mail

1. Handles incoming mail delivered by local couriers and diplomatic pouch.
2. Organizes and sorts outgoing mail for despatch by couriers and pouch.
Others

1. Maintains directory of names and addresses of relevant businesses and individuals.
2. Maintains leave and attendance records of drivers.
3. Files relevant documents and bills.
4. Handles payment of courier, telephone and utilities  bills.
5. Acts as a back up for the General Services Assistant and providing secretarial support to the General Services Officer as and when required.
6. Carries out any other work on instruction by Supervisor.
ACCOUNTABILITIES

1. Prompt and polite flow of incoming and outgoing phone calls.
2. Smooth transportation for staff, VIPs, Headquarters staff, as appropriate and within guidelines.
3.  Effective security with respect to visitors.
4. Timely payment of all official courier, telephone, electricity and water bills.
5. Good and effective relationships with NDO drivers.
KEY COMPETENCIES

1. Excellent communication skills, inclusive of voice modulation.
2. Inter personal skills of a high order.
3. Proficiency in English.
4. Knowledge of relevant Bank procedures and operations.
5. Good knowledge of Computers – Word, Excel, Power Point.
6. Ability to cope effectively with pressure  and competing priorities.
7. Ability to inter relate effectively with staff at all levels.
8. Initiative and resourcefulness in solving problems and responding to multiple work demands.
9. Knowledge of internal administrative systems and of the NDO organization structure and  personalities.
WORK RELATIONSHIPS

1.  Reports to Senior Administrative Officer, NDO.
2.  Interacts with all staff and external visitors, as needed.
3.  Maintains an effective and fair distribution of work to the drivers.
Selection Criteria

1.  Qualifications : High School.
2.  Experience : 2 years in a business or international organization.
